Poster Makers for Schools with Design Software

To print posters in-house, schools need a wide-format poster printer (along with poster paper and ink) and a software application to design the posters.

VariQuest’s Perfecta® Poster Printers are designed specifically for schools and work with StudioVQ™ and its Job Manager application to cover both needs. Most schools place their VariQuest poster printer in a shared workroom or media center, where any staff member can use it to create posters and visual materials in two ways:

• Design a new poster or visual materials: choose a template, customize the text, images, and colors, and print at the size you need.
• Scan existing materials: scan an existing worksheet, handout, or student work and enlarge it to poster size.

A standard poster prints in minutes, so teachers can print a visual the same day a lesson calls for it.

Poster printers are worth it for schools that regularly create classroom visuals, event signage, or banners, because in-house printing costs less per poster than outsourcing and removes the wait for a print shop.

To decide whether a poster printer is worth the investment, schools should ask:

• How many large-format prints do we order each year?
• How much do we currently spend on outsourced posters and banners?
• Can federal or grant funding be applied to the purchase?

The best poster makers for schools are designed specifically to support teachers and staff. That means pairing reliable wide-format printing with user-friendly design software and ready-to-use templates, so anyone can create polished posters that support learning without design training or a separate design program. VariQuest’s Perfecta® Poster Printers are built around this experience. They work with our StudioVQ™ cloud-based design software and more than 30,000 education-specific templates, graphics, and fonts, making them a strong option for schools that want staff to be able to translate ideas into printed posters in minutes.

When comparing poster makers, use this checklist:

• Print width: 24″ for most classroom posters, 36″ for larger banners and hallway displays
• Cost per print: ink and paper cost per poster, not just the upfront price
• Integrated design software: easy for teachers and staff to learn
• Integrated content library: templates and graphics aligned to K–12 subjects
• Scanning and enlarging: the ability to turn existing handouts into posters
• Color output: whether the printer supports full-color printing
• Training and support: professional development and responsive technical help
• Warranty: coverage length and what’s included
• Funding eligibility: whether the purchase qualifies for Title I or other grant funds

Ink usage varies based on many variables: type and amount of content on each poster, output size, paper type, print speed, and printer maintenance. That said, Varitronics conducted tests to estimate the average cost per poster using Perfecta Heavyweight Coated paper. Schools commonly fund poster makers, like the VariQuest Perfecta® series printers, through federal programs such as Title I, IDEA, and CTE program funding, as well as state grants and PTO or PTA fundraising.

VariQuest helps schools identify eligible funding sources and provides justification statements that connect the purchase to program goals. Visit our funding resources page to get started, or see how East Bethel Elementary used PTO funding to fund their VariQuest purchase.

Teachers use school poster makers, like the VariQuest Perfecta® Q36 printer, to create full-color posters, banners, anchor charts, and other large visuals that reinforce instruction. Common uses include:

• Anchor charts and concept diagrams
• Classroom and hallway reminders
• Behavior reinforcement and PBIS displays
• Progress trackers and data walls
• Health and safety signage
• Event promotions and school spirit banners
• Certificates and recognition displays
• Group discussion charts

With VariQuest’s StudioVQ™, teachers also get online access to thousands of education-specific templates, so they can design these materials in minutes from any device before sending them to the centralized Job Manager print queue for production on-site.

VariQuest offers a range of school poster printers in its Perfecta® series, giving schools a wide variety of output sizes, features, and functionality. The Perfecta Q36 creates the largest posters and banners, with options up to 36 inches wide.

Standard poster size options include:

• Standard Posters: 24″ x 34″
• Medium Posters: Longest edge scaled to 24 inches
• Custom Banners: Up to 36″ wide, with length based on the template or original design

Additional output sizes for smaller materials:

• Tabloid: 13″ x 19″
• Letter: 8.5″ x 11″

Teachers can resize classroom materials between any of these formats in StudioVQ™ and the Design Center, or scan an existing handout and enlarge it to poster size. Perfecta printers print near edge-to-edge, with margins of about 0.2″ on all sides for roll media, and 0.2″ top, left, and right with 0.67″ bottom for sheet media.

Yes. VariQuest Perfecta® Poster Printers produce large, high-quality photo prints. For best results, use images of at least 150 DPI sized for large-format output, typically 2400 x 3600 pixels or larger. Teachers can import photos directly into StudioVQ™ and the Design Center to add them to templates for yearbook displays, event recaps, and student recognition boards.

Yes. Once a school has VariQuest, there is no limit to the number of teachers that can be granted access to the StudioVQ™ to design posters and visual materials from any device. From there, finished designs can be sent to a shared Perfecta® Poster Printer for seamless printing when ready.

Administrators control who has access to the software and when posters are printed, keeping the workflow organized across the building.
